Clicking on the “ONLINE SCHEDULE” button on the Home Screen will take you to the current day’s schedule. Before scheduling your first flight, let’s review how this screen is organized.

1. Schedule Overview

Below is a sample schedule. On this example today is Thursday, Oct 31st, as shown in the top center of the screen. Aircraft and Instructors will be listed down the left side. The thin, dark vertical line shows the current time (9:30 AM) and time is broken out in 30 minute blocks. The text links “Home”, “Customize View”, “Add Reservation”, and “Log Off” appear for these functions. An additional “Add Reservation” button appears below for large schedules that require scrolling.

2. Scheduling a flight

To schedule a flight, simply click the “Add Reservation” link at the top right, or push the “Add Reservation” button at the bottom right. You may also simply double click any open point on the schedule. A reservation window will appear:

Member Name                 Who is logged in and making this reservation

Aircraft                                 Pick aircraft by tail number or group type. Group type is useful when your organization flies multiple aircraft of the same type. Best Practice Tip: It is always best to pick this option if you can. This way, if a specific aircraft is down, SkyManager will automatically reschedule to another aircraft in that group if available.

Instructor                            Pick an instructor for the flight, if necessary. If you do pick an Instructor, you will be prompted to enter both Pre and Post flight additional time, if you require.

Time Span                           Pick the date, and times that you are reserving for your flight.

Priority                                 Your Organization will assign Priorities here. They may include “Normal Reservation” and others like “Administrative Reservation”, “Checkride”, and “Maintenance”. SkyManager by default makes Maintenance Reservations the highest possible priority, including the ability to down the aircraft. Check boxes also appear to allow Bypass of Member or Instructor Conflicts. This is done to increase the schedulibility of aircraft if a lesson or time conflict can be resolved prior to this flight.

Syllabus                               If you are a student enrolled in a Syllabus, your Syllabus Type and Lesson drop-dwon boxes will appear. If necessary, you can choose the type and lesson you are doing on this flight. But selecting these boxes, even if enrolled on a syllabus, is not required.

Flight Rules                        Select the appropriate option

Comments                          This is for any comments the student, instructor, or dispatcher wishes to add. These will appear on the dispatch ticket, if printed.

 

Finally, click the “Add Reservation” button at the bottom, and your reservation will be added. If there is problem, or conflict, the system will prompt you with a reason to correct. Your flight will now appear on the schedule, and any associated instructor time will also appear.

Also, you can see the Reservation made my the “Support” admin user with the aircraft blocked out from 10:00 AM to 11:30 AM. The Instructor, T. Jones, is also blocked out at this time with additional preflight and postflight times added. The reservation also shows the symbol for a two-person, dual flight, and for a syllabus flight as denoted by the “PP” that appears for “Private Pilot”. To see additional information about this, simply hover the reservation with your mouse.

 

Note: Any aircraft that is currently down will appear in red, as the above example shows. Although it is marked as “down” the aircraft is still schedulable in the system for later in the day or week. This is useful for a “down” aircraft that is only down for a short time.

 

Below the schedule, for the user who is logged in, a chronological list of your reservations will also appear. This is useful for a very busy main schedule showing all flights. Click the green “ICAL” button to set up and sync your SkyManager reservations with other calendars you may use on your personal computer or tablet, etc.
